At Teens and Kids Aviation Club Zambia ("TKACZ"), we want every participant and family to feel confident when booking our programs. This policy sets out the circumstances under which fees may be refunded, and the process for requesting a refund. Please read it carefully before enrolling or registering for any TKACZ program.
All TKACZ program fees are stated in Zambian Kwacha (ZMW) and are payable at the time of enrollment or registration. Fees cover the cost of instruction, materials, venue access, and supervision for the relevant program. Fees do not include personal transport to and from the venue unless otherwise stated.
We understand that circumstances change. The following cancellation terms apply to all TKACZ programs:
Cancellation 14 or more days before the program date: Full refund of the program fee, less any payment processing charges levied by the payment gateway.
Cancellation 7–13 days before the program date: 50% refund of the program fee.
Cancellation less than 7 days before the program date: No refund is available. However, you may transfer your booking to another participant of the same age group at no additional charge, provided you notify us at least 48 hours before the program date.
No-show (failure to attend without prior notice): No refund is available.
TKACZ reserves the right to cancel, postpone, or modify a program due to circumstances beyond our control, including but not limited to adverse weather, venue unavailability, insufficient enrolments, or safety concerns. In such cases:
If TKACZ cancels a program entirely, participants will receive a full refund of the program fee.
If TKACZ postpones a program, participants will be offered a place on the rescheduled date at no additional cost. If the rescheduled date is not suitable, a full refund will be provided.
TKACZ will not be liable for any additional costs incurred by participants or their families as a result of a cancellation or postponement (e.g. transport, accommodation, or time off work).
For programs delivered across multiple sessions (such as the RC Design & Technology workshop), the following terms apply:
Cancellation before the first session: Refund in accordance with the standard cancellation terms in Section 2.
Cancellation after the first session has commenced: A pro-rata refund will be calculated based on the number of sessions remaining, less a ZMW 50 administrative fee. No refund is available once more than half of the sessions have been delivered.
To request a refund, please contact us in writing by email at [email protected] with the subject line "Refund Request — [Participant Name] — [Program Name]". Your email should include the participant's full name, the program and session date booked, the reason for cancellation, and your preferred refund method (original payment method or bank transfer). We will acknowledge your request within 2 business days and process eligible refunds within 7–10 business days of approval.
Refunds will be returned via the original payment method wherever possible. Where this is not possible (for example, if the original payment method is no longer active), we will arrange a bank transfer to a Zambian bank account provided by the requester. TKACZ does not issue cash refunds. Any payment gateway or bank transfer fees associated with processing the refund will be deducted from the refund amount.
The following are non-refundable under all circumstances:
Enrollment administration fees (where separately charged).
Program materials that have already been issued to the participant (e.g. printed workbooks, RC component kits).
Any portion of a fee that was donated or subsidised through a sponsorship or bursary arrangement.
We recognise that serious illness, bereavement, or other exceptional circumstances may prevent attendance. In such cases, please contact us as soon as possible. We will consider requests for a full or partial refund outside the standard cancellation window on a case-by-case basis, subject to the provision of appropriate supporting documentation (e.g. a medical certificate). TKACZ's decision in such cases is final.
As an alternative to a refund, participants may request to transfer their booking to a different program date or to defer their enrollment to a future intake. Transfer requests must be made at least 48 hours before the original program date. Only one transfer or deferral per booking is permitted. Transfers are subject to availability.
If you are dissatisfied with a TKACZ program or believe a refund has been incorrectly denied, please contact us at [email protected]. We are committed to resolving all complaints fairly and promptly. If your complaint is not resolved to your satisfaction, you may escalate the matter to the relevant Zambian consumer protection authority.
TKACZ reserves the right to update this Return & Refund Policy at any time. Changes will be posted on this page with an updated effective date. The policy in force at the time of your booking will apply to that booking.
